Donna (“Donna,” “we,” “us”) is a macOS application that records and transcribes your meetings on your Mac and helps you keep them organized. This policy explains what data Donna accesses, how it is used, and how it is stored. Donna is designed to keep your data on your device.
Information Donna accesses
Google Account data (with your permission). When you connect a Google account, Donna requests:
- Your calendar events (
https://www.googleapis.com/auth/calendar.events) - Donna reads events on your primary calendar to detect when a meeting is scheduled and to label each recording with the right meeting. When you respond to an invitation inside Donna, it updates your own RSVP status (accept / decline / tentative) on that event. Donna does not create, delete, or otherwise modify your events. - Basic profile information (
openid, email, profile) - your name and email address, used to identify the connected account and display it in the app.
Meeting recordings and transcripts. When you record a meeting, Donna captures audio and generates a transcript. These are created and stored locally on your Mac.
Diagnostic data. If the app crashes or you submit a bug report, Donna may send crash and diagnostic logs to our error-monitoring provider (Sentry) to help us fix problems. We do not intentionally include your calendar content or meeting transcripts in these reports.
How Donna uses your information
- To detect scheduled meetings and start and label recordings.
- To display your upcoming meetings and the connected account.
- To submit an RSVP when you choose to respond to an invite.
- To diagnose crashes and errors (diagnostic data only).
Donna does not use your Google data for advertising, and we do not sell or rent your data to anyone.
How your data is stored and shared
- On your device. Recordings, transcripts, and cached calendar events are stored locally on your Mac. Your Google access tokens are stored securely in the macOS Keychain.
- With Google. Calendar reads and RSVP updates happen directly between Donna on your Mac and Google’s API.
- No third-party sharing. Donna does not transfer your Google user data to others except (a) as needed to provide these features (Google’s own API), (b) for diagnostic data as described above, (c) to comply with applicable law, or (d) as part of a merger or acquisition with appropriate notice.
Limited Use disclosure
Donna’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Data retention and deletion
- Recordings and transcripts remain on your Mac until you delete them.
- You can disconnect a Google account in Donna at any time, which removes its stored tokens from your device.
- You can revoke Donna’s access at any time at myaccount.google.com/permissions.
Children’s privacy
Donna is not directed to children under 13 and does not knowingly collect data from them.
Changes to this policy
We may update this policy from time to time. Material changes will be reflected by updating the effective date above.
